This Refund & Cancellation Policy explains how cancellations, refunds, billing changes, and disputes are handled for services provided by Care Desks Solutions Limited Liability Company (“CareDesks,” “we,” “us,” or “our”).

By purchasing or using our services, you agree to this policy.

1. Subscription-Based Services

CareDesks provides services on a subscription basis, billed in advance on a recurring cycle (monthly or as otherwise specified at the time of purchase).

Subscriptions grant access to software, telephony features, and usage-based services for the applicable billing period.

You may cancel your subscription at any time by:

When Cancellation Takes Effect

  • Cancellations take effect at the end of the current billing period

  • You will continue to have access to the Services until the end of that period

  • No further charges will be applied after cancellation takes effect

Immediate Termination

CareDesks reserves the right to suspend or terminate services immediately if:

  • Payments fail or are disputed improperly

  • The Services are used in violation of our Terms of Service

  • There is suspected fraud, abuse, or unlawful activity


3. Refund Policy (Very Important)

General Rule: No Refunds

All subscription fees are non-refundable, except where required by applicable law.

This includes, but is not limited to:

  • Unused time within a billing period

  • Partial usage of services

  • Early cancellation

  • Configuration, setup, or onboarding time

Once a billing period has started, charges for that period are final.

4. Exceptional Refund Requests

In rare circumstances, CareDesks may consider a refund request at its sole discretion, including situations such as:

  • Duplicate charges caused by system error

  • Billing errors attributable solely to CareDesks

Refunds are not guaranteed and are evaluated on a case-by-case basis If a client is unsatisfied within the first billing cycle, they may request a cancellation and applicable refund by contacting support.

5. Usage-Based Charges

Some services may include usage-based components, such as call minutes, AI processing, or telephony features.

  • Usage charges are calculated based on actual consumption

  • Usage fees are non-refundable once incurred

  • Overages are billed according to your selected plan

You are responsible for monitoring usage through available dashboards or notifications.

6. Free Trials (If Offered)

If CareDesks offers a free trial:

  • The trial duration and conditions will be disclosed at signup

  • Billing begins automatically at the end of the trial unless canceled

  • Failure to cancel before trial expiration results in automatic charges

No refunds are issued for charges incurred after a trial ends.

7. Plan Changes and Pricing Adjustments

You may upgrade or downgrade your subscription plan subject to availability.

  • Pricing changes take effect at the start of the next billing cycle unless otherwise stated

  • CareDesks reserves the right to modify pricing with reasonable prior notice

Continued use of the Services after pricing changes constitutes acceptance of the updated pricing.

8. Chargebacks and Payment Disputes

Initiating a chargeback without first contacting CareDesks is strongly discouraged.

Improper chargebacks may result in:

  • Immediate suspension of services

  • Account termination

  • Permanent restriction from future services

We encourage customers to contact support@caredesks.com so issues can be resolved quickly and fairly.

9. No Guarantees of Business Results

CareDesks provides technology and operational tools.
We do not guarantee:

  • Revenue increases

  • Appointment volume

  • Sales outcomes

  • Business performance

Refunds will not be issued based on business outcomes or expectations.

10. Legal Compliance

This Refund & Cancellation Policy is subject to applicable laws.
If local law requires refunds or consumer rights that differ from this policy, those laws will apply only to the extent required.
